Black in Robotics Chapter Guidelines

Process for Establishing a BiR Chapter

  • Step 1: Establish a (Tentative) Regional BiR Directors Team

Reach out to the BiR National Directors to initiate the process and learn of any other regional chapter developments (blackinrobotics@gmail.com)

Local BiR chapters must have a leadership team consisting of 3-10 members, that ideally consist of at least one academic professional (educator), industrial professional, and a student (undergraduate, graduate, and postdoc). Having diverse members from the primary components of the robotics community will help ensure each sub-community is engaged and served by local BiR initiatives.

Service Terms associated with the leadership team should be set for a minimum of 6 months.

BiR Chapter directors (in the majority) should identify as black to help ensure cultural sensitivity.

  • Step 2: Coordinate with BiR National for Chapter Validation & Registration

Coordination with BiR National must begin at this step, this is done by reaching out to the BiR National Directors (blackinrobotics@gmail.com).

BiR plans to launch a few (1-2) chapters each year (this rate may grow as our membership increases).

In addition to ensuring the chapter will represent BiR well and have the resources to execute, BiR National will also ensure that regional activities are coordinated

  • Step 3: Chapter Activities Development Plan

Local chapter activites plan must be developed prior to the launch of the chapter.

Local BiR chapter activities may include:

    • Holding Professional Development and networking events (both local and national integrative events)

    • Holding outreach events to engage with the larger community (at various academic levels: K-12, college/university)

    • Facilitating connections for job and research opportunities (academic/industry) geared towards BiR members and the under-represented minorities (URM) community.

BiR Chapter Operational Procedure

  • Chapter Establishment

Once the chapter has been established where local BiR directors facilitate the initiation of the chapter, the following operational procedure must be adhered to.

  • Communication Guidelines

BiR Chapters will adhere to the social media posting policy, and all chapter members will adhere to the BiR Code of Conduct. These can be obtained directly from the BiR National directors.

  • BiR Chapter Directors: Voting & National Interfacing & Reporting

BiR Chapters should vote on the directors (core leadership) every 1-2 years or when a vacancy occurs.

Local BiR chapters should send representatives to annual/bi-annual national BiR meetings (more information from National Directors)

Chapters will provide a (brief) Impact Report of activities (based on a template) to the national BiR organizers annually.

  • BiR Chapter Funds Guidelines

Funds obtained and provided to local BiR chapters under the umbrella of the non-profit national BiR organization will be facilitated by the national BiR organization’s finance management arm.

BiR Chapters will work with national to establish operational budgets for BiR non-profit activities.
